Identify products before entering quantities
An inventory item needs a consistent code or identity, product name, category, unit, quantity and unit cost. Vodka, rum, wine, beer and other categories support structured counting. Using the same identity across months is more reliable than repeatedly renaming a bottle.
Separate deliveries from physical counts
A supplier receipt records stock coming into the venue. A physical count records what is actually on hand at a point in time. Treating those records as the same event obscures stock movement and can produce a false opening or closing balance.
Preserve the accounting boundary
In the current Core configuration, alcohol receipt records belong to the inventory ledger and are not automatically sent as alcohol costs to Admin P&L. Do not assume an inventory quantity or stock value is already an approved financial expense. Review the chosen accounting workflow during setup.
